Position Overview
The Assistant Manager Supply Chain & Inventory Control will be responsible for supporting and controlling the end-to-end flow of raw materials, trims, accessories, work-in-progress (WIP), and finished goods. The role will focus on maintaining accurate inventory records, ensuring timely availability of materials for production, minimizing stock discrepancies and wastage, and improving overall supply-chain efficiency.
The position requires strong coordination with Procurement, Production, Warehouse, Design, Quality Control, Finance, and Merchandising teams to ensure materials are available at the right time, in the right quantity, and at the required quality.
Key Responsibilities
1. Inventory Management & Control
- Monitor and maintain accurate inventory records for raw materials, fabrics, trims, embellishments, accessories, WIP and finished goods.
- Investigate and resolve stock discrepancies, shortages, excesses and unexplained variances.
- Maintain proper documentation for all inventory movements, including receipts, issues, transfers, returns and adjustments.
- Monitor slow-moving, non-moving, excess and obsolete inventory and prepare regular reports.
- Establish and monitor minimum, maximum, and reorder stock levels for critical materials.
- Monitor material wastage, damages, shortages and consumption against approved requirements.
2. Supply Chain Planning & Coordination
- Coordinate with Production and Procurement teams to ensure timely availability of required materials.
- Review production requirements and material availability to identify potential shortages or delays.
- Track purchase orders and expected deliveries and highlight delays to relevant stakeholders.
- Coordinate material requirements based on production schedules, upcoming collections and confirmed orders.
- Prepare material availability and shortage reports for management.
- Support the development of material planning and replenishment schedules.
- Ensure critical materials are prioritized according to production requirements and deadlines.
3. Warehouse Coordination
- Coordinate with warehouse teams to ensure proper receiving, storage, identification, issuance and movement of materials.
- Ensure materials are properly labelled, categorized, and stored to minimize loss and damage.
- Monitor warehouse stock levels and storage utilization.
- Ensure all inward and outward inventory movements are properly documented.
- Review Goods Receiving Notes (GRNs), Material Requisition Notes (MRNs), Material Issue Notes, transfer records and other relevant documents.
- Ensure production receives materials against approved requisitions and authorized quantities.
- Monitor pending material returns from production and ensure timely reconciliation.
4. Production Material Control
- Ensure production teams receive the required materials according to approved quantities and production plans.
- Monitor actual material consumption against planned/BOM requirements.
- Ensure leftover and unused materials are returned to inventory and properly recorded.
5. Procurement Coordination
- Coordinate with Procurement regarding material requirements, pending purchase orders and expected delivery dates.
- Provide accurate stock availability information to support purchasing decisions.
- Identify upcoming material shortages and communicate requirements in advance.
- Monitor supplier delivery commitments and escalate delays affecting production.
- Assist in evaluating supplier performance based on delivery timelines, quantities and quality.
- Coordinate with Procurement and Finance to resolve discrepancies between purchase orders, received quantities and invoices.
6. Inventory Reporting & Analysis
- Prepare daily, weekly, and monthly inventory reports.
- Provide management with accurate and timely inventory data for decision-making.
7. Process Improvement & Controls
- Identify gaps in existing inventory and supply-chain processes and recommend improvements.
- Develop and implement effective inventory control procedures and SOPs.
- Strengthen controls around material receiving, issuing, transfers, returns and adjustments.
- Reduce inventory discrepancies through improved processes and accountability.
- Support the implementation and improvement of ERP/inventory management systems.
- Identify opportunities for automation and process digitization.
- Establish clear documentation and approval controls for inventory adjustments.
8. Audit & Compliance
- Maintain accurate records required for internal and external audits.
- Support periodic inventory audits and physical verification exercises.
- Ensure inventory transactions are supported by appropriate documentation and approvals.
- Investigate audit observations related to inventory and implement corrective actions.
- Ensure compliance with company policies and inventory control procedures.
9. Team Coordination & Supervision
- Supervise and guide inventory/warehouse staff as assigned.
- Ensure team members follow inventory handling and documentation procedures.
- Allocate tasks and monitor team performance.
- Train team members on inventory processes, documentation, and system usage.
- Coordinate effectively with cross-functional teams to resolve operational issues.
Required Qualifications
- Bachelor's degree in Supply Chain Management, Operations Management, Business Administration, Logistics, or a related field.
- 5-7 years of relevant experience in supply chain, inventory control, warehouse operations, production planning, or a related function.
- Experience in the fashion, apparel, textile, retail, or manufacturing industry will be preferred.
- Strong understanding of inventory management and supply-chain processes.
- Proficiency in MS Excel/Google Sheets and inventory/ERP systems.
- Experience with inventory reconciliation, stock audits, and inventory reporting.
